Executive Assistant

KMB Design Group, LLC is seeking an Executive Assistant to support our Executive Team.

Job Description:

Under minimal supervision, the candidate will perform the following duties:

  • General Office support including but not limited to:
    • Receptionist duties including greeting visitors at the reception desk, answering incoming phone calls, processing incoming mail and accepting deliveries.
    • Maintain conference room and kitchen including emptying dishwasher, stocking refrigerators and coffee machine, etc.
    • Organize domestic and international travel in accordance with travel preferences and needs
  • Executive Support including but not limited to:
    • Manage executive calendars and arrange meetings.  Coordinate refreshments if needed.
    • Draft emails, letters, correspondence and format documents
    • Schedule and provide support for leadership team meetings and events
    • Execute day-to-day administrative tasks including organizing documents and assist in organizing and maintaining company digital file structure and system.
    • Perform various research on company initiatives; analyze and summarize data to provide Management Team with relevant information and/or recommendations for management decision-making
    • Assist with personal tasks as needed
  • General Business Operations support including but not limited to:
    • Handle and assemble highly confidential documents and information
    • Plan multiple company events each year including booking venues, tallying attendees responses and coordinating vendors.
    • Registration and preparation for staff’s attendance at various trade shows
    • Manage company licenses and registrations as needed
  • Marketing and Business Development support including but not limited to:
    • Field incoming email and phone inquiries regarding potential incoming work
    • Assist with Social Media marketing campaigns
    • Work with the executive team and marketing consultant on enhancing company website content

Qualifications

  • A high school diploma is required; Advanced degree is preferred
  • A minimum of 3 years of previous administrative support experience is required
  • Experience providing administrative support to VP level (or above) is preferred
  • Demonstrated proficiency in Microsoft Office programs (Word, Excel, PowerPoint, Teams and Outlook) is required
  • Excellent verbal and written communication skills, exceptional interpersonal skills, and ability to partner collaboratively with other staff members
  • Ability to handle confidential information professionally and in accordance with company policies and procedures.
  • Flexible mindset, ability, and willingness to adapt to changing needs.
